Privacy Policy

Effective October 25, 2026

This policy explains how Identity Architect handles information on identityarchitectframework.com. Please share only information you are comfortable providing. Assessments may contain sensitive personal information.

Information we collect

We collect the email and account details you provide; profile information such as names, birth date, birth time, birthplace, current city and timezone; assessment answers; uploaded supporting files; daily check-ins; free-form questions and AI reflections; and report preparation, consent and review records. Answers may include relationship, health, trauma, work or financial information. Technical service providers may also process connection information and security logs.

How we use it

We use information to verify sign-in, save your profile and assessments, connect daily observations to the right report, prepare and review reports you request, provide AI reflections on questions you submit with your consent, provide approved reports, and protect the service. Account registration and assessment submission do not themselves authorize sending your assessment to OpenAI.

Shared ecosystem account

Identity Architect and Artist Safe House use one Supabase email account. You sign in separately on each website with the same email identity. In Your ecosystem, you may choose a shared display name and opt in to having that name suggested on both sites. Sharing is off by default and can be turned off. Names separately saved to a local profile remain until you edit them. Assessments, birth information, reports and daily check-ins remain in Identity Architect storage; Artist Safe House creative profiles and marketing preferences remain separate. A shared account or name does not enroll you in marketing or publish your information. The future Safe House app is not connected yet.

PDF answer extraction

With separate authorization, a selected uploaded PDF is sent to OpenAI to transcribe and match completed assessment answers. The original file, extracted answer preview, source excerpts, processing consent and reviewed import selections remain stored under your account. PDF extraction runs asynchronously so the browser can check progress. Although the request uses store=false, OpenAI temporarily retains background response data for roughly ten minutes to support polling; provider logs follow their applicable policies. A preview can contain errors. When you authorize automatic population, clear extracted answers fill empty draft fields; existing answers are preserved. Missing, unclear or conflicting answers are shown for correction. Automatically copied answers remain unverified and should be checked before submission. Submitted assessments are not changed. Extraction does not authorize report preparation or verify sources.

Questions and AI reflections

When you choose Ask the Universe a Question and agree to AI processing, your question is sent to OpenAI to generate an educational reflection grounded in Identity Architect. Your question, consent record and answer are stored privately with your account. No assessment or personal report is sent for this feature. You may separately save the question and unreviewed reflection to a chosen living assessment; saving does not approve a report or verify the reflection. The book text is not currently connected.

AI-assisted reports and access

When you separately authorize AI-assisted report preparation, your assessment answers, verified source extracts and daily observations are sent to OpenAI for drafting. Authorized administrators can also select uploaded source files and assessment context for AI-assisted extraction. Extracted information stays private and requires review against the original files; reading a file does not verify its contents or approve a report. Source-reading responses use background processing and are temporarily retained to retrieve results. With authorization, an administrator can also chat with the preparation assistant using the selected client’s saved answers, text extracts, working notes, recent conversation and original files explicitly attached to a chat message. Chat attachments are saved privately with that client’s supporting files before sending; uploading alone does not send them to OpenAI. These conversations and proposed notes are stored privately with that client’s preparation records. Saving a chat note adds an unverified working source; it does not edit a chart image, verify source information or approve a report. Administrator corrections retain an edit history and the original submitted answers. Authorized Identity Architect analysts can review submitted assessments and supporting files for requested reports. Drafts, sources and review records are restricted to authorized reviewers; you receive the approved client report. The app requests that OpenAI not store Responses API outputs, but that setting does not mean every provider log is immediately deleted. Provider processing is governed by their applicable terms and policies.

Submission emails

When notification delivery is configured, submitting an assessment sends a receipt to the email address supplied in your assessment (or your verified account address when no assessment email is supplied), and an alert to the designated administrator. Resend processes the recipient address, basic submission details and delivery records. Emails contain a sign-in link, not your assessment answers or supporting files. Provider acceptance does not guarantee inbox delivery. Confirm the email in your assessment before submitting.

Providers and international processing

Providers supporting this service include Supabase for email authentication, OpenAI for opted-in report drafting and Sites hosting, and Cloudflare infrastructure for hosting and file storage. Sign-in email delivery uses configured email services. Information may be processed in countries other than your own. We do not sell your assessment answers or use them for targeted advertising. We may disclose information where required by law or necessary to investigate misuse and protect legal rights.

Location, cookies and device storage

Your device timezone can populate automatically. City lookup uses your browser location only after you enable location consent and your browser grants permission. That lookup sends coordinates to BigDataCloud to identify a city; coordinates are not saved to your profile by this app. You can enter city and timezone manually. Authentication cookies keep you signed in, and browser storage can remember your selected intake. Browser controls can clear stored information, though this may sign you out. Clearing browser storage does not delete server records.

Retention, requests and choices

We retain account, assessment and report records while needed to provide the service, handle requests, maintain security or meet applicable legal obligations. There is no automatic deletion schedule represented here. Email us to request access, correction, a copy or deletion of your information, or to withdraw consent for future report preparation. We may verify your identity; legal retention requirements and provider backup cycles can limit immediate deletion. Changing a profile does not rewrite an already submitted assessment. Withdrawal does not reverse processing already completed.

Security and children

We use authenticated access and account-scoped storage, but no service can guarantee absolute security. Avoid supplying passwords, payment card numbers or unnecessary sensitive details in assessment fields. This service is intended for adults; children under 18 should not create profiles or submit assessments.

Changes

Changes will be posted here with an updated effective date. Material changes to the uses requiring consent will require renewed consent before those new uses.
